Policy Type: Pay Period vs. Non Pay Period

Before we get started, if you're interested in learning more about PTO policies in general, please click here. When creating a PTO Policy, you're able to determine the type of Policy being created via the Policy Type field. There are two options available.

  • Cover staff members assigned to a Pay Period only.
    • When this option is selected, only staff members that are assigned to a Pay Period are eligible to be assigned to the PTO Policy. To learn more about pay periods, click here.

When it comes to the accrual of hours for this option, you will be able to select from the following list:

  • After Each
  • Daily
  • Pay Period
  • Anniversary
  • Yearly

IMPORTANT NOTE: Staff member balances will be calculated only when a Pay Period is finalized / locked.

  • Covers any staff member in the system.
    • When this option is selected, all staff members are eligible to be assigned to the PTO Policy. This includes staff members assigned to a Pay Period, and staff members that are not.

When it comes to the accrual of hours for this option, you will be able to select from the following list:

  • Daily
  • Weekly
  • Bi-Weekly / Fortnightly
  • Semi-Monthly
  • Monthly
  • Anniversary (Hire Date)
  • Yearly

IMPORTANT NOTE: Staff member balances will be calculated on the date configured by the Policy itself.

When editing an existing PTO Policy, you may still be able to choose one of these options, but only if you haven’t assigned any of your staff members to the Policy yet. Otherwise, this field will only present the option you chose when creating the Policy.
